ShareYourBox helps people across the UK give away and pick up moving boxes for free, in person. This policy explains what personal data we collect, why, and the choices you have. We collect only what the service needs to work — we don't sell your data or use it for advertising.
Who we are

What we collect
- Account details — your email address (used to sign you in with a one-time code) and the display name and optional avatar you choose.
- Location — the approximate area (postcode or map point) you attach to a listing, and, if you allow it, your device location to show boxes near you. You can use the app by entering an area manually instead of sharing precise location.
- Listings and photos — the boxes you post or request, including any photos and descriptions you add.
- Messages and hand-overs — messages you exchange with other members to arrange a collection, and a record of completed hand-overs and reviews.
- Eco-points and activity — points earned from completed hand-overs and related history.
- Basic technical data — information needed to run the service securely, such as your IP address and app/device type.
How we use it
- To run the service — create your account, show nearby listings, and let members arrange hand-overs.
- To keep the community safe — verify the QR hand-over, handle reports, and prevent abuse.
- To show public profile information (your display name, avatar, eco-points, and reviews) to other members.
- To meet our legal obligations and respond to lawful requests.
Our lawful bases under UK GDPR are performance of a contract (providing the service you asked for), your consent (precise device location), and our legitimate interests (keeping the service safe and secure).
What other members see
A listing shows its box details, photos, and its approximate area — not your exact address. Your public profile shows your display name, avatar, eco-points, and reviews. Your email address is never shown to other members.
Who we share it with
We don't sell your personal data. We share it only with service providers that help us operate — for example our hosting, content-delivery (Cloudflare), and email-sending providers — and only as needed to run ShareYourBox. We may disclose data where required by law.
How long we keep it
We keep your data for as long as your account is active. If you delete your account, we remove or anonymise your personal data, except where we need to keep limited records for legal, safety, or dispute-resolution reasons.
Your rights
Under UK data-protection law you can request access to your data, ask us to correct or delete it, object to or restrict certain processing, and withdraw consent (such as location) at any time. To exercise any of these, email [email protected]. You also have the right to complain to the UK Information Commissioner's Office (ico.org.uk).
Children
ShareYourBox is not intended for children under 13, and we don't knowingly collect their data.
Security
We protect your data with encryption in transit, access controls, and a QR-based hand-over designed so a screenshot can't be reused. No system is perfectly secure, but we work to keep your data safe.
Changes
We may update this policy from time to time. We'll change the date above and, for significant changes, let you know in the app.
